1. Order and delivery details.

Order and delivery information is the material this company handles most. When an order is placed with EXPRESS SHU LTD we record the name the order is in, the delivery address, the email address the order came from, the goods and quantities picked, and the reference the parcel travels under. That record is what the warehouse works from when the order is picked, packed, labelled and handed to a carrier, and it is what we look at again if the order is queried later.

Where a payment is taken, the payment provider handling it confirms the outcome to us, and it is that confirmation which is filed against the order.

2. Messages sent to the warehouse.

Email sent to the warehouse mailbox is read in the unit and kept with the order it concerns. A message keeps whatever the sender chose to put in it: the address it was sent from, the order reference quoted, any photographs of a damaged parcel, and the thread of replies. Correspondence that has nothing to do with an order is filed on its own.

3. Why this information is held.

The delivery address, the contact address and the order lines exist so the order can be fulfilled: goods cannot be picked, packed and delivered without them. The same record supports the parts of the sale that come afterwards — answering questions, tracing a parcel, booking a return back in against the original pick, and raising a claim with a carrier.

A second reason is bookkeeping. A limited company registered in England and Wales keeps records of what it sold, to whom it was dispatched and what was received in payment, and those records are held for that purpose as well.

4. How long it stays with us.

An order record stays with us while the sale is live and while it can still give rise to a return, a warranty question or a carrier claim. After that, the commercial and accounting record is retained for the period a company is required to keep its books, and correspondence attached to an order follows the order it belongs to.

Where a message stands on its own and turns out to need nothing further, it is cleared from the mailbox during routine housekeeping.

5. Who else handles it.

The delivery name and address reach the carrier that moves the parcel, because that is what a label is. Payment information is handled by the provider that processes the payment. Our accountants and, where a statutory duty applies, HM Revenue & Customs see the accounting record. Each of those parties receives the part of the record that its job actually requires.

6. This website itself.

These pages are static files, served as they are. The delivery-zone lookup runs inside the page in your own browser: the postcode you type is compared with a table already loaded with the page, the answer is drawn on screen, and the entry is discarded when the page is closed or reloaded. Information reaches us from this site when you choose to write to the warehouse mailbox.

7. Requests you can put to us.

Data protection law in the United Kingdom lets a person named in an order record put certain requests to the business holding it. These are the ones that reach a warehouse mailbox, and what each one means here:

  • See what is filed. We send back what sits against your orders, written out so it can be read.
  • Put a detail right. A misspelled name or a delivery address that has since changed is amended on the record itself.
  • Have the file removed. Once a sale is closed and no accounting duty still runs against it, the file goes.
  • Freeze it where it stands. While a query is open, the record is kept as it is and left out of day-to-day use until the query is settled.
  • Rule out one use. Name the use you mean and we treat that use separately from the rest of the record.
  • Carry it elsewhere. Order details go out as a structured file that another business can read.

Send the request to warehouse@shuexpress.store with enough for the file to be located — an order reference and the delivery postcode are usually plenty — and the reply comes back in writing. Should our answer leave the matter unsettled, the Information Commissioner's Office regulates this field across the UK and will take the complaint up directly.

8. Who is answerable for it.
